GCYAA Board Releases Minutes From January 17

Present were President Doug Whipple, Mark Peters, Mick Towers, Lori Berns, Annie Smith, Karla Kohl, and Jeff Lamoureux. Absent: Tim Tucker, Lee Horbach, Dean Lansman, and Art Brown. President Whipple called the meeting to order at 7:05 pm
Approval of Minutes-Motion to approve by Lori, second by Mark. Nays, O.
Old Business-Mark shared that he had Word & Excel programs downloaded on the Association Laptop and will need reimbursed for that purchse. He also shared that all checks and monetary records are now downloaded on the computer and asked that we look up check # 1218 for $1,015.16 so we can document what the subject of the check was and what it was used for. Finally, it was determined that $169 needs to be reimbursed from the wrestling account from a bad check written in the fall apparel purchased.
Vote on Officers-Before voting on officers, a vote was taken on the official duties descriptions. Jeff motioned to approve these descriptions, second by Mark. Nays, O. Chris Stimson had also volunteered to be on the 2010 board and a vote was help to appoint to board. Motion by Jeff, second by Mark to nominate Stimson on board. Nays, 0. Voting of the 2010 officers for a two year term were then nominated – Board President –Doug Whipple, Vice President –Dean Lansman, Secretary –Annie Smith, Treasurer-Lori Berns, Fundraising Director-Mark Peters, Coaching Director-Jeff Lamoureux, Equipment Director-Dean Lansman, Site Administrator-Chris Stimson.
Fundraising presentation was given from Monica Stimson-Tastefully Simple. Two different fundraising options were noted. The board will roundtable this and consider it for possible fundraising options. Annual Golf Tournament was discussed. The board will vote on a date at their next meeting for the tournament.
Financials were given by Mark. Carrie Peters did an overall audit of the bills and things are in order. 2010 budget update was given by Doug. There is $23,000 in the GCYAA accounts with $1,000 of that going towards the wrestling program. There is $30,000 in the sports complex account and the Greene County Development Corporation gave another $30,000 towards this account. Totaling around $83,000 for our overall total working budget.
Football/Soccer Fields status at the high school was given by Doug. He shared that the Jefferson-Scranton schools has agreed to donate the land and tiling at the current high school practice field. There will be dirt available for us to use free of cost, but we will be responsible for the hauling of the dirt. In addition, the GCYAA discussed donating a new scoreboard for the new soccer/football field. Mark motioned to approve this purchase, second by Anne. Nays, 0.
Coaches Clinic will be held March 5-6 at Power Lift, Inc. and J/S High School. Tom Wilson will be coming to give hands on training to the area coaches. All GCYAA football coaches will be responsible to attend. Because the association will be using these services, it will pay a portion of the cost for Wilson to attend.
Sign-up days were discussed. The board agreed an official sign-up day with clothing and special equipment orders was needed. The board will roundtable these dates until the next meeting. Meeting adjourned at 8:00 pm. Annie Smith, Secretary.
